Schedule Development Policy and Procedures - Student Policy and Procedures

  1. Purpose
    1. The Davis Technical College (College) is committed to providing students with scheduling that is reasonably flexible to facilitate completion of individual training objectives. This policy outlines the parameters and processes for establishing student schedules.

  3. Definitions
    1. Required College Class/Program Change - Change to a class/schedule due to completion of a class or at the request of an instructor or college staff member.
    2. Required by Work Schedule/Military/Civic Duty - Schedule change made due to employment schedule, military commitments, or required civic duty (i.e., jury duty, court appearance, etc.).
    3. Open-Entry/Defined-Exit Scheduling - Students may enroll in a course at any time. Courses have a defined end date based on the student's individual schedule. Students pay for each course when they enroll and may re-enroll and pay for courses they fail to complete.
    4. Defined-Entry/Defined-Exit Scheduling - Students begin and end courses on designated start/end dates. Students pay for each course when they enroll and may re-enroll and pay for courses they fail to complete.
    5. Enrollment Status - Classification of student enrollment status is based on the number of enrolled hours in a regular five-day school week as follows: Full-time is 24 hours or greater; three-quarter time is 18 to 23 hours; half-time is 12 to 17 hours; less-than-half-time is 11 hours or fewer.
    6. Dual Enrollment Student - A student who meets the official definition of Secondary Student and is enrolled simultaneously at the College and a secondary school. Dual Enrollment students must meet the same admissions requirements as other students.
    7. Workforce Education (Occupational Upgrade) – A structured learning approach designed to equip individuals with the skills needed to maintain and advance their careers. It supports those already in the workforce by aligning education with current and evolving industry demands through technical training, certifications, and academic coursework.
    8. Lifelong Learning (Audit Waiver) - Individuals who are 62 years of age or older who are non-certificate seeking students applying to audit program classes for personal enrichment.
    9. Personal Interest - A non-certificate seeking student applying to audit program classes for personal enrichment.
  4. Policy
    1. College courses are available to students without regard to race, color, ethnic background, national origin, religion, creed, age, disability, veteran status, sexual orientation or preference, or gender.
    2. The minimum age for college course enrollment is 16, unless a program requires a student to be 18 or older. Any special enrollments for students under 16 must be approved by the Director of Student Services.
    3. Students enrolled in college programs must maintain an active schedule in the program or courses in the program to be considered enrolled in the college.
    4. Students must meet course prerequisite requirements prior to enrolling in a course.
    5. Students must provide a Social Security number, a Taxpayer Identification number (ITIN), or sign a W-9 form requesting a waiver of this requirement. Students submitting a W-9 form in lieu of a Social Security number will be assigned a substitute number for college use only.
    6. Workforce Education (Occupational Upgrade) and Custom Fit Course Enrollment and Scheduling
      1. Schedules for students in Workforce Education (Occupational Upgrade) and Custom Fit courses will be developed by Workforce Education personnel, who will also be responsible for informing students of their schedule.
      2. Student Services personnel will enter Workforce Education (Occupational Upgrade) and Custom Fit course enrollment and schedules for students in the college student information system.
    7. College Program and Course Enrollment and Scheduling
      1. Student schedules will be developed through cooperation among students, faculty, and Student Services. Schedules will be included in the student record.
      2. Students will be scheduled into individual courses indicated in the program training plan. Generally, students will be scheduled for one course at a time, but may be scheduled into multiple simultaneous courses if deemed appropriate by faculty.
      3. Certificate-seeking students enrolling in a course must commit to a schedule of a minimum of the following, dependent on the learning modality:
        On-campus courses
        Adult Student Minimum Hours Required
        Days 12 hours per week
        Nights 9 hours per week
        High School Student Minimum Hours Required
        Days 6 hours per week
        Nights 6 hours per week
        Hybrid courses
        Adult Student Minimum Hours Required
        Days 18 hours per week
        Nights 18 hours per week
        High School Student Minimum Hours Required
        Days 9 hours per week
        Nights 9 hours per week

        These hours are composed of blocks of time defined by the classroom schedule (generally 3 hours per block). Or, if the class is not offered 12 or 18 hours per week, the student must be enrolled for the available hours the class is offered.

        1. Program-specific minimum hour requirements (Effective July 1, 2026) - Select programs require weekly minimums of more than 12 hours: a list of these program requirements is available in Student Services.
        2. Exceptions to Minimum Hour Requirements
          • Exceptions to minimum schedule requirements may be granted by a Program Director for students who are unable to meet the required weekly hours due to documented circumstances.
          • If a student identifies schedule constraints at the time of enrollment, the Director of Student Services may grant a temporary exception for the first scheduled course only.
          • Students seeking continuation of an exception beyond the first course must meet with the Program Director prior to enrolling in the next course for review and approval.
          • All approved schedule exceptions will be reviewed at least every six months to ensure the student is able to make satisfactory progress and succeed in the program.
        3. Workforce Education (Occupational Upgrade), Lifelong Learning (Audit Waiver), and Personal Interest students must commit to a schedule of a minimum of 6 hours per week composed of blocks of time defined by the classroom schedule (generally 3 hours per block).
      4. Students will not be scheduled into a defined-entry class that has already started. If a student drops out at the beginning of the program, the instructor may, at their discretion and with the director’s approval, fill the spot with a wait-listed student.
      5. Unless a specific exception has been granted by agreement with a sponsoring agency, students scheduling into courses must pay for the course at the time the schedule is created.
    8. Schedule Changes
      1. Schedule changes will be entered into the student information system by Student Service personnel prior to the effective date.
      2. Although schedules can be set in advance, post-secondary students with more than 120 calendar days between schedules will be withdrawn. Secondary students with more than ten school days between schedules will be withdrawn.
      3. Students enrolled in defined-entry/defined-exit courses will be withdrawn if they fail to reschedule by the beginning of the next scheduled course in their training.
      4. Students who do not reschedule into a course will be withdrawn as of the last scheduled date. Students may not change the start date of a given course more than one time without penalty unless the change is related to a documented change to the student’s work schedule.
      5. If the course has already started for the day, students will be scheduled to start on the next regular class day.
      6. Students in programs with open or defined-entry, defined-exit enrollment are assumed to have made a commitment to the entire course and are not permitted to change their schedule except as outlined below:
        1. As defined in the Student Refund Policy, for students who withdraw from the course, or
        2. As required to maintain a total number of enrolled hours, if a student is enrolled in more than one course and completes one of the courses before the other.
    9. Schedule Corrections/Variances
      1. In case of extenuating circumstances such as health issues or job schedule changes, students may request a mid-course schedule change through the Director of Student Services.
    10. Course Extension
      1. If a student reaches the end of an open-entry/defined-exit schedule without completing the final exam and/or project, they may request a Course Extension from the instructor.
      2. Course Extensions will be granted at the discretion of the faculty member. Course extensions are used to support students who are within reach of meeting course requirements. Faculty may approve a course extension only if they are confident the student can complete the remaining work within 5 scheduled instructional days and no more than 10 calendar days. See the Student Grading and Performance Policy for more information on course extensions. If a faculty member grants a Course Extension, they will notify Student Services using the approved method for communicating course approvals. The students will visit Student Services to schedule the extension and pay the associated tuition and/or fees.
      3. A student must be scheduled into and begin the course extension no later than five (5) school days after the end of the previous course.
      4. Course extensions will last for five (5) scheduled school days, extending no longer than ten (10) calendar days.
      5. If a student is granted a Course Extension and fails to complete the course, they cannot be granted any additional extensions. Students will be required to purchase the full class to complete.
    11. Course Withdrawal
      1. Students may withdraw from college courses at any time but should consult the college's Refund Policy to understand financial obligations and consequences of the withdrawal.
      2. In accordance with the Student Refund policy, students may withdraw from courses in five days from the course start date if none of the coursework has been recorded as completed in the college student information system for specifically defined entry and exit programs.
    12. Enrollment Verification
      1. Students may request verification of enrollment after completion of the first five days of a given class.
  5. Procedures
    1. Students who are beginning enrollment at the college will develop their initial schedule as part of the enrollment process in Student Services.
    2. Students requiring a schedule change may do so in Student Services.
    3. Students or staff members who wish to request a correction in a student’s schedule due to extenuating circumstances or error must present their request in writing, with appropriate supporting documentation, to Student Services as outlined in this policy.
